Your calls are yours. AI only when you allow it.

Every AI feature starts off. The account owner turns each one on after reading exactly what is sent, and to whom, and can turn it off again at any time.

Four permissions, each off until you say yes.

Before anyone agrees, each permission says what it sends, when, and to which provider.

  • Businesses

    Call transcription and analysis

When someone with access asks for a call, its recording is sent to be written out, then the transcript to be summed up: what the caller wanted, the mood and the follow-ups. Turning it on doesn’t transcribe your call history.

  • Homes and businesses

    Voicemail transcripts and summaries

New messages in the mailboxes you choose are written out and summed up as they arrive. Messages already there aren’t processed because you turned it on.

  • Homes and businesses

    AI voice greetings

The words you write for a greeting or a menu are sent to the provider of the voice you pick, which sends back the recording.

  • Businesses

    Ask in Insights

An owner’s or admin’s question goes with the phone system’s setup: names, extensions, numbers, queues and menus. Emails, cell and forwarding numbers, 911 addresses, PINs and passwords are never sent. Kafono counts the figures itself.

The providers named are today’s. The permission shown before anyone agrees always names the ones in use, and a change of provider asks again.

Off means off.

Turning a permission off stops it at once, for the whole account.

  • Queued work stops. Nothing waiting is sent, and no retry goes out.
  • Late results are thrown away. Anything that comes back after you turned it off isn’t kept.
  • Saved results stay yours to delete. Turning AI off doesn’t erase what’s saved; deleting does.
  • People agree for themselves too. Before asking for a transcript or an AI greeting the first time, each person sees what’s shared and agrees.

Delete a call, for good

Remove a call’s recording, transcript and analysis together, for everyone on the account.

  • Who can delete

A business’s owners and admins, or a home’s account holder. Being able to listen doesn’t mean being able to delete.

  • What stays

The call itself stays in your history: who called, when and for how long. The recording, transcript and analysis are gone.

  • On the record

The activity log notes who deleted it and when, without a word of the conversation.

The activity log: who played a recording, signed in, changed a setting or exported calls, and when

Who can listen.

Live calls and recordings are for the people you choose, and every listen is written down.

  • Owners and adminsCan listen to any live call on the account.
  • Queue supervisorsCan listen to calls that came through the queues they supervise.
  • The activity logRecords who listened, who played a recording, and who changed a setting or exported calls.

Questions about privacy.

Does Kafono need AI to work?
No. Calls, voicemail, texts and every other feature work with every AI permission off.
Who can turn AI on?
A business’s owner or one of its admins, signed in as themselves, or a home’s account holder. Never a shared phone login, and never Kafono’s support.
Will my old calls be transcribed?
No. A call is transcribed only when someone asks for it, and voicemail processing starts with new messages.
When I delete a recording, is it gone?
For everyone on the account, at once, with its transcript and analysis, and it can’t be undone. A copy someone downloaded, or what a provider already received, can’t be recalled.
Can AI get things wrong?
Yes. Transcripts and summaries can be inaccurate, which is why a call’s summary links each sentence to the moment it came from.
